Job Overview We are seeking a dedicated Part-time Administrative Assistant to support the operations of a prominent national non-profit organization. This role offers an excellent opportunity for individuals with strong organizational skills and office management experience to contribute to meaningful community initiatives. The successful candidate will provide essential administrative support, manage front desk responsibilities, and ensure smooth daily operations. This position is ideal for a proactive professional who excels in multitasking, customer service, and office coordination within a dynamic environment.
Essential Duties and Responsibilities: - Provide administrative support to ensure efficient office operations
- Answers phone calls and directs callers to appropriate personnel, schedules appointments and assists callers, volunteers, and other visitors
- Prepares meeting agendas and related meeting materials
- Coordinates logistics for meetings, including room setup and catering
- Responds to e-mails and other queries and correspondence
- Manages calendars for the organization
- Assists in the preparation of regularly scheduled reports
- Inputs and updates information in databases and spreadsheets
- Updates and maintains office policies and procedures
- Maintains contact lists
- Assists with expense reports, including verifying accuracy and appropriate supporting documentation
- Reconcile and submit payment for bills
- Assist in preparation of regularly scheduled reports
- Maintains physical and digital filing systems
- Uses word processing and presentation software to create and edit documents
- Operates and maintains office equipment, including copiers, printers, fax machines, etc.
- Works with outside vendors to ensure office equipment is working properly and that office supplies are readily available
- Maintains volunteer breakrooms and coordinates and procures supplies
- Ensures that deadlines are met and adapts to changing priorities
- Serves as a liaison to the President and President Elect
- Presents a positive and professional image for the organization.
Education and/or Work Experience Requirements: - Three years of past administrative experience or tenure in an office setting or additional qualifications as an administrative assistant.
- High school diploma or equivalent, associate’s degree a plus
- Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
- Excellent computer proficiency with standard office platforms (MS Office – Word, Excel and Outlook)
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
- Familiarity or willingness to learn donor management systems
- Prior experience with programs such as Constant Contact or Canva a plus.
Physical Requirements: - Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
- Must be able to lift and carry up to 50 lbs.
- Must be able to talk, listen and speak clearly on telephone
Background check, pre-employment drug screen and valid driver's license is required. This is a Safety Sensitive position and organization
