Chemical Plant Administrator (Clerical)
Summary:
Manages the day to day administrative and support functions throughout the branch, including but not limited to operations support, office management, greeting visitors, manage petty cash, and provide general support to branch and warehouse management staff.
Responsibilities:
· Act as liaison between the branch and Customer Care department
· Process daily paperwork
· Prepare shipment paperwork for deliveries
· Help with scheduling for routes and deliveries
· Create consignment Purchase Orders for customer owned product
· File daily original Bills of Lading as necessary
· Process Bills of Lading copies and enter data required into the system
· Certificate of Analysis/Certificate of Conformance creation/modification
· Creating and disseminating reports to section chiefs or as required by branch management
· Process drum inspection documents and file as required
· Order and maintain inventory of office/warehouse supplies
· General administrative support for the Branch Manager and other managers as required
· Active member of the branch Entrepreneurial Operating System® (EOS®) team
· Create and maintain multiple tracking spreadsheets to be used for specific customers
Provide information to Accounting in support of Accounts Payble and Accounts Receivable
· Maximize office productivity through proficient use of appropriate software applications
· Monitor and follow procedures for systematic retention, protection, retrieval, transfer, and disposal of records in accordance with all governmental requirements
· Review clerical records to ensure completeness, accuracy, and timeliness of processing
· Prepares daily activity reports for multiple section chiefs or as guidance from management
· Provide proof of delivery and support documents to customers as requested/required
Requirements
- High school diploma required; Some college coursework preferred.
- Minimum 5 years of administrative support experience required; Manufacturing plant environment experience highly preferred.
- Excellent written communication skills, including the ability to write business correspondence.
- Proficient knowledge of MS Office products and Adobe.
- Excellent verbal communication skills, with an emphasis on the ability to speak to internal and external customers effectively over the phone.
- Engage effectively with management, operations team, and key functional teams outside of the plant.
- Chemical industry experience preferred.
- Background check and pre-employment drug screen required.
